For a while now webmasters have fretted over why all of the pages of their website are not indexed. As usual there doesn’t seem to be any definite answer. But some things are definite, if not automatic, and some things seem like pretty darn good guesses.

So, we scoured the forums, blogs, and Google’s own guidelines for increasing the number of pages Google indexes, and came up with our (and the community’s) best guesses. The running consensus is that a webmaster shouldn’t expect to get all of their pages crawled and indexed, but there are ways to increase the number.

PageRank

It depends a lot on PageRank. The higher your PageRank the more pages that will be indexed. PageRank isn’t a blanket number for all your pages. Each page has its own PageRank. A high PageRank gives the Googlebot more of a reason to return. Matt Cutts confirms, too, that a higher PageRank means a deeper crawl.

Links

Give the Googlebot something to follow. Links (especially deep links) from a high PageRank site are golden as the trust is already established.

Internal links can help, too. Link to important pages from your homepage. On content pages link to relevant content on other pages.

Sitemap

A lot of buzz around this one. Some report that a clear, well-structured Sitemap helped get all of their pages indexed. Google’s Webmaster guidelines recommends submitting a Sitemap file, too:

· Tell us all about your pages by submitting a Sitemap file; help us learn which pages are most important to you and how often those pages change.

That page has other advice for improving crawlability, like fixing violations and validating robots.txt.

Some recommend having a Sitemap for every category or section of a site.

Speed

A recent O’Reilly report indicated that page load time and the ease with which the Googlebot can crawl a page may affect how many pages are indexed. The logic is that the faster the Googlebot can crawl, the greater number of pages that can be indexed.

This could involve simplifying the structures and/or navigation of the site. The spiders have difficulty with Flash and Ajax. A text version should be added in those instances.

Google’s crawl caching proxy

Matt Cutts provides diagrams of how Google’s crawl caching proxy at his blog. This was part of the Big Daddy update to make the engine faster. Any one of three indexes may crawl a site and send the information to a remote server, which is accessed by the remaining indexes (like the blog index or the AdSense index) instead of the bots for those indexes physically visiting your site. They will all use the mirror instead.

Verify

Verify the site with Google using the Webmaster tools.

Content, content, content

Make sure content is original. If a verbatim copy of another page, the Googlebot may skip it. Update frequently. This will keep the content fresh. Pages with an older timestamp might be viewed as static, outdated, or already indexed.

Staggered launch

Launching a huge number of pages at once could send off spam signals. In one forum, it is suggested that a webmaster launch a maximum of 5,000 pages per week.

Size matters

If you want tens of millions of pages indexed, your site will probably have to be on an Amazon.com or Microsoft.com level.

Know how your site is found, and tell Google

Find the top queries that lead to your site and remember that anchor text helps in links. Use Google’s tools to see which of your pages are indexed, and if there are violations of some kind. Specify your preferred domain so Google knows what to index

A reader asked me a question that I found quite intriguing, “How do I get people to find my blog posts?”

There are a number of ways that people can come across you and your blog posts. Here are just a few.

Search Engines – Google, Yahoo, MSN and Ask are constantly looking for new content to crawl and rank. Ensure your site is search friendly and submit an XML sitemap for faster indexing. Before you know it, the search engines will start bringing traffic.

Tagging Engines – Sites like Technorati have blog searches that focus on serving up content based on what categories and/or tags you’ve used with your post. Ensure you’re using good categories and tags for additional exposure in tagging sites.

Blog Sites – Technorati, Google Blog Search and community sites like Topix all index blog sites specifically and use those posts to feed their content. No websites allowed, only blogs.

Feed Reader Suggestions – Rojo and Bloglines have the ability to share or suggest feeds based on what the user is already subscribed to.

Social Networks - If you have a Facebook, MySpace, MyBlogLog or one of the many social bookmarking sites, included your feed in those sites to gain a bit more exposure.

Social News Sites - If you spent a lot of time and have one great post, it may be a candidate for Reddit, Digg or Mixx. Or maybe one of the many Pligg sites that are popping up.

Social Bookmarking - From Furl to del.icio.us there is no shortage of social bookmarking sites. Bookmark a few of your best posts to gain exposure in those areas. Just don’t over do it by bookmarking everything.

There are lots of people out there looking for good content. If you’re writing quality content, then getting visitors shouldn’t be to difficult, but it may take time. The more you write good content, the more visitors you’ll attract too.

There are ways to get visitors that are active and passive. Whichever way you choose to go, keep notes of what worked and what didn’t. That way you figure out where your time is best spent to get the most quality traffic in the future. Plus, as your blog grows, the amount of active blog promotion you do may decrease as your user base may do quite a bit of the promotion for you.

If you follow search engine news you know that the major search engines are fighting tooth and nail for market share.

If you follow search engine news you know that the major search engines are fighting tooth and nail for market share.

Given the competitive climate it may come as a surprise that Google, Yahoo!, and Microsoft are all backing a single protocol for publishing sitemaps.

Search engines typically build their indexes by crawling links on websites. Link-by-link a search engine discovers and catalogs web pages. To get a site listed in the major search engines requires that a webmaster submit the home page URL to the search engines and then sit back while the search engines crawl the site to discover what pages exist.

A new initiative, sitemaps.org, sets a standard for creating and publishing sitemap XML files. A sitemap XML file is basically a listing of all pages on a website, including some basic metadata about each page. A properly-created sitemap can be submitted to a search engine that supports the sitemap.org protocol to help the engine accurately build its index.

To my knowledge, Google was the first of the major engines (Google, Yahoo!, and Microsoft) to offer webmasters a way to submit a sitemap.

My company, Agency Fusion, added support for Google’s sitemap protocol into our CMS shortly after Google made this service possible. Here’s how it works: A user makes changes to his or her website using our CMS.

When the user publishes the website changes, our CMS automatically notifies Google that the sitemap has been updated and Google uses the updated sitemap to facilitate its indexing. The new sitemap.org effort uses the same XML format as the original Google sitemap protocol so our system can publish sitemaps for Yahoo! and Microsoft too.

The fact that all three major engines are backing this standard makes it clear there is commitment from the engines to actually use this data in a meaningful way. Anything that helps a search engine more accurately index a website’s information should be considered a primary tool in your SEO arsenal!

For more information on the sitemap protocol, visit sitemaps.org. XML-Sitemaps.com is an online sitemap generator which allows you to manually create a sitemap XML file by merely inputting a website’s URL. This is very handy for websites that aren’t powered by a CMS capable of automatically generating sitemaps.

As part of the announcement, the existing sitemaps protocol from Google gets a version upgrade to Sitemaps 0.9. However, no actual changes to the system have taken placeAnyone already using Google Sitemaps needn’t do anything different. The only change is now those sitemaps will be read by Microsoft and Yahoo, as well.

Let’s hope this is a start of a new trend by the top 3 to work together. TechCrunch has more and you can view a new web site dedicated to the new Sitemaps.

In great news, Google, Yahoo and MSN have agreed upon a XML sitemap standard.

What’s this mean to you?

Well, you just need to create one XML sitemap and you can submit it to all three engines.

I’ve been doing that for a while and didn’t seem to have any problem but now it’s official.

Why should you create an XML sitemap? An XML sitemap outlines all the URLs on a site so that search engines can find them all easily.

Much like a normal sitemap, it just lists all the pages however, an XML sitemap is optimized for search engines, not for people. By giving search engines a list of URLs on your site, you are increasing the number of pages they know about and can refer traffic to.

If you posted once a day for a year, you’d have 365 post pages. That doesn’t include categories, archives and any other blog related pages.

Since the numbers add up so quickly, it’s hard for a search engine to keep up and even harder for a user to keep them organized so that an engine can find them all easily.

An XML sitemap gives engines one file full of all the URLs on your site, optimized just for them.

So, how do you create an XML site map? There are variety of ways but here are my top three choices:

1. Google Sitemap Generator Plugin for WordPress. Once installed, it automatically updates and pings Google when you have new content. Since all engines now use the same XML formatting, the name is a little outdated. It should be updated to Search Engine Sitemap Generator.

2. GSite Crawler. This is a free desktop application for PCs that will crawl your site and create the XML site map for you to upload. It doesn’t automatically update but it is easy to use and you could re-generate an XML map ever month or so. If anyone knows of a free Mac app like this, I’d love to hear about it.

3. XML-Sitemaps.com. This is a web based XML sitemap creation tool that is free for small sites. Again, it’s not automatic, but it’s free and easy to use. Plus it works on any platform.

If you have a blog, you should be creating an XML sitemap. Even if you do it only once every six months, it’s better than none at all.

Do you use a different tool for creating XML sitemaps? If so, do share.

If search engine optimization is important to you, you probably already know about Google Sitemaps.

Google thinks sitemaps are important:

Sitemaps helps speed up the discovery of your pages, which is an important first step in crawling and indexing your pages, but there are many other factors that influence the crawling/indexing processes. Sitemaps lets you tell us information about your pages (which ones you think are most important, how often the pages change), so you can have a voice in these subsequent steps. Other factors include how many sites link to you, if your content is unique and relevant, if we can crawl the pages successfully, and everything outlined in our webmaster guidelines.

To make this work, you have to create a sitemap file, a special XML document. For most people, this is not very easy.

Luckily, it is if you have a a WordPress blog.

Last year, Arne Brachhold developed the Google Sitemap Generator for WordPress plug-in which I discovered only recently. This automatically generates a Google Sitemaps-compliant sitemap of your WordPress blog.

Once you upload that file to your Google Sitemaps account, you’re on your way to helping Google index and crawl your site better which may result in a more complete index of the site.

Neat.

Yahoo!

Search engine optimization is a very complex science, but at its heart is the simple rule: to format your website in such a way that spiders can immediately recognize and index its content.

If they can’t “see” you, you might as well not exist–and if they can’t understand your code, no amount of keywords can get you in the Golden Top 20.

The problem that many website developers used to encounter was that search engines worked differently; so you could end up with a high ranking in Lycos but languish at the bottom of Google. How exactly should you optimize your site so you perform well in all search engines?

Enter ROR (short for Resources for a Resource), an independent XML format that translates your content in a way that all search engines can understand.

Think of it as a web spider’s Cliff’s Notes. it describes all the objects, services, discounts, images, podcasts, etc. If it’s on the site, it’s on the ROR feed, but in a format that’s easy to process and removes all risks of skipping or ignoring a link.

ROR calls its “magic file” structured feeds, which guide search engines as they scan the text. Unlike Google Sitemaps, it’s universally understood–and very easy to process. It’s also more detailed. It doesn’t just give a map or “table of contents”, it actually summarizes what’s inside. It’s also been in existence far longer than Google, so its reliability has been proven by time.

Though it’s been around for a long time, ROR is by no means outdated. The majority of the file formats are already available in ROR, although it is currently being updated to keep up with the growing number of website innovations. But to avoid being too unwieldy, the ROR system tries to re-use existing data structures. It boasts of being very streamlined, a strength that makes it one of the more efficient ways of indexing a site.

Usually the ROR feed is located in the directory, and is named by default ror.xml. It is possible to rename the file, and the search engines will still find it. The only thing it needs to have is a <link> tag in your main page (between the <head> and </head> tags). Another alternative is to create a smaller ror.xml file which will direct the search engines to the ROR feed.

You can create this file in the ROR sitemap generator.

XML-Sitemaps.com has an online sitemap generator that creates XML, HTML, text and ROR sitemaps and also provides some useful SEO tools.

Google XML Sitemaps have been around for a while now and many webmasters are starting to become familiar with them.

They can help you to achieve up to date indexing in Google, and, in a round about way, play a small roll in assisting with rankings. Sitemaps are not needed by everyone, but can be of significant use for many websites. This article will touch on the basics of what they are, who can use them, and how to implement them.

What is a Google XML Sitemap?

In short a Google XML Sitemap allows webmasters to submit a master list of all their site’s pages to Google for indexing. This information is stored in an XML file along with other relevant information where specified by the webmaster. It can be as simple as a list of URL’s belonging to the site, or can include, last modified date, update frequency, and priority. The purpose of this Sitemap is to have the most recent version of your URL’s indexed in Google at all times.

Who needs a Google XML Sitemap?

XML sitemaps can generally help any site needing to be indexed by Google; however, small sites may not see the need for this. For example, if you have a small 10 page website that seldom sees any of its pages updated and your entire site is already in Google’s index, the XML Sitemap is not necessarily going to help much. It is best used when trying to keep the latest versions of your pages current in Google. Large sites with an extensive list of URL’s will also benefit, especially if 100% of their pages are not appearing in the index. So a general rule of thumb, if you have either a dynamic or large site, Google XML Sitemaps just may benefit you.

Will using XML Sitemaps improve my Google Ranking?

In most cases this will not improve your rankings, however it can help. By having the most current version of your site in Google’s index, this can speed up your movement in the results pages. This is because if you make an update to a page for optimization purposes, Google’s index will have this page updated more quickly than without the XML sitemap. What this essentially means is that with more frequent spidering you can help influence what version of your site is in the index, and ultimately, help with rankings by decreasing response time.

How do you create the XML Sitemap?

If you have a very small site, or a lot of time on your hands you can create your XML sitemap manually, but for the vast majority of webmasters, automated tools are an absolute must. There are a number of available solutions for this. One of the simplest methods of creating XML sitemaps is through the use of VIGOS GSitemap. This is a free, easy to use tool that will help you create your XML sitemaps with ease. There are also number of downloadable and online tools listed on Google’s site which cater to both beginners and seasoned professionals alike.

Submitting your XML Sitemap to Google is relatively straightforward. After the file has been created the first thing you want to do is upload the file to your server, preferably at the root level. Log into the Sitemap console using your Google account login. From here you can add a site to your account. Simply enter your top level domain where it says “Add Site” (see fig 1.0). This will add the domain to your account and allow you to then submit the XML sitemap.

Figure 1.0

After this is done it will take you to a screen with the summary for this site. You will see a text link that says “Submit a Sitemap”. Clicking here will take you to a screen to enter the online location of the XML sitemap. (see fig 1.1 below). Click “Add Web Sitemap” and you are on your way.

Figure 1.1

Once this is complete you have the option of verifying your Sitemap. This can be done by placing a specific meta tag on your home page, or by uploading a blank html file with a file name provided by Google. Verification will allow you to access crawl stats, and other valuable information regarding your Google listing.

Below is a basic example of an XML Sitemap.

Implementing an XML Sitemap is generally straightforward and worth the effort. Taking the time to implement them is well worth it as there is no negative down side to this tool provided by Google. Every little thing adds up in terms of obtaining site rankings and frequent spidering by Google is certainly one of them.

Using a sitemap generator to make a sitemap for your website is a great decision.

Using a sitemap generator to make a sitemap for your website is a great decision.

With a sitemap generator it makes the task of establishing a fully functional and useful sitemap a breeze. What’s more, with a sitemap generator, any changes to your website are usually updated without you doing them manually. This is a huge time saver and eliminates the tedium of doing this task manually.

However, even if you have the best sitemap in the world it is not worth anything unless you religiously promote your sitemap and/or website. There are many ways to promote your website/sitemap and it ranges from the typical to the illegal. Of course, as a conscientious web master or business owner, only so-called white hat methods are in your arsenal of sitemap promotion tools and tactics.

Below are some white hat methods that you can also incorporate in your own promotions plans:

Visit online forums – You can use signature links or refer to your website whenever appropriate when you post replies in any forum. Of course, this should not be seen as an opportunity to spam online forums. Don’t construct replies that look like ads because it turns off forum members and may be used as a reason for you to get banned. Reply within context of the subject.

Post comments in blogs – again, do not use the comments capabilities of a blog to spam people. Make real comments on the blogs and again reply within the context of the blog entry or previously posted comments and then introduce your website within reason.

Establish a relationship with website owners – this method requires a lot of subtlety and careful handling. You can email the webmasters of websites you are interested in and maybe ask questions about their site. You can even ask where they acquired the information in the website. The idea here is quite simple – establish a relationship with the website owners/webmasters of websites that would benefit your own website. The ultimate goal here is to get some links.

Distribute content to industry portals – This is a great way of establishing your reputation as well as your website’s reputation as authorities in the field or sector in which you have dedicated your website.

Join award programs and submit your website for consideration – By joining award programs, you will get links to your sites from their sites. There are some sites that even demand that you link to them. Take advantage of this unique opportunity to build up your reciprocal links.

Submit the website to industry directories – submitting your website for inclusion in online directories especially those that cater to niche markets is a great way of promoting your website. Listing in directories is also a wonderful method for making the content on your website more easily reached and discovered by people.

Post physical ads – by promoting your website through traditional means (billboards, flyers, and even merchandise) you get to reach audiences that may not frequent the internet that often but may be interested in what your website may be offering.

Add to Del.icio.us | DiggThis | Yahoo! My Web | Furl

You can create this file in the ROR sitemap generator.
